How to structure it

Opening

Name the role and, in one line, the strongest reason you're a fit. Skip the throat-clearing.

Middle

One or two paragraphs of real, specific evidence: what you did, and the result. This is where most letters go generic. Yours shouldn't.

Why this employer

One genuine, specific reason you want this job at this company, not any company. Vague enthusiasm reads as a template that wasn't customised.

Close

Thank them, note your resume is attached, and make it easy to reach you.

Re: Application for Librarian

I'm writing to apply for the Librarian position at [Company Name]. My background in cataloguing, reference support and digital literacy instruction lines up closely with what this role needs, and I'd welcome the chance to bring that to your team.

In a previous library role, I noticed our discovery platform's search results were returning a lot of irrelevant hits for common student research topics. I worked through the affected subject headings and cross-references, corrected the metadata, and ran a short training session for reference staff on the fix so search results stayed accurate going forward. It's the kind of detail work that patrons never see directly, but it changes whether they find what they actually need.

[add one genuine, specific reason: a project, value, or market position you can point to] is part of why I want to work at [Company Name] specifically, rather than any library service.

Thank you for considering my application. I've attached my resume, which sets out my cataloguing, research support and program delivery experience in more detail, and I'd be glad to discuss the role further.

Getting it right

This is a starting point, not a guarantee of interviews. Make it specific to the actual employer before you send it.
